By accessing or using this website, booking a service, or engaging in counselling or coaching sessions with Tracey Yeoman, you agree to the following Terms of Service. These terms outline the nature of our services, your responsibilities as a client, and our mutual expectations.
Tracey Yeoman offers counselling, coaching, and mentoring services that are person-centred, strengths-based, and holistic in nature. These services aim to support individuals in navigating life transitions, building resilience, and working toward personal or professional goals.
Counselling and coaching through Kitsune Coaching Solutions are not substitutes for medical, legal, or other qualified professional advice. If you are experiencing acute psychological distress or require a clinical mental health diagnosis, we recommend seeking support from a registered mental health practitioner or GP.
Counselling is a therapeutic, client-led process designed to support individuals in understanding, processing, and navigating emotional, psychological, or situational challenges. It may involve addressing past experiences, trauma, grief, anxiety, life transitions, or self-esteem concerns.
The counselling relationship is grounded in empathy, confidentiality, and a safe space for self-exploration.All counselling services are delivered in accordance with the Australian Counselling Association (ACA) Code of Ethics.The client is always in control of the direction and depth of the counselling process.Counselling is not a substitute for medical or psychiatric care, and clients are encouraged to engage other professionals if needed.
Coaching is a collaborative, forward-focused process aimed at supporting personal or professional development. It helps clients set and achieve meaningful goals, build confidence, and create momentum toward a more fulfilling life.
Coaching is strengths-based, motivational, and action-oriented. A coach works alongside the client to clarify goals, challenge limiting beliefs, and celebrate progress.The coaching relationship assumes the client is creative, capable, and resourceful. While coaching can be therapeutic, it is not therapy and does not treat mental health conditions.
All personal information is treated in accordance with the
Privacy Act 1988 (Cth) and our Privacy Policy. Tracey utilises privacy-compliant, cloud-based platforms for secure record keeping and client communication.
Confidentiality applies with the following exceptions:
There is a risk of harm to the client or others.
Disclosure is required by law or subpoena.
Illegal activity is reported.
Information is shared hypothetically for professional supervision, without identifying the client.
Clients may request more information about data storage platforms and privacy policies at any time.
4. Record Retention
Counselling Client records are securely stored in digital or physical form for a minimum of 7 years
, in accordance with Australian regulations.
Standard session time: 60 minutes
Fees are payable in advance for online services and on the day fro face to face services unless otherwise agreed.
Cancellations require 48 hours’ notice to receive a full refund
Cancellation Fee Structure:
24+ hours: 100% refund
Less than 24 hours with a medical certificate: 50% refund
Less than 24 hours without medical certificate: No refund
Clients are responsible for contacting Tracey via SMS or phone at
0422 622 401 in case of technical issues before a session.
Sessions are conducted via Zoom unless otherwise arranged. Tracey may also use
Heidi Health, a privacy-compliant, AI-powered documentation tool, solely for administrative support. Heidi Health does not provide clinical advice or services. All client care remains the responsibility of Tracey Yeoman.
Either party may terminate the counselling or coaching relationship at any time with reasonable notice - two weeks counselling and four weeks for coaching services. Any outstanding fees for completed or uncompleted sessions in that time will remain payable.
While all care is taken to deliver professional services, Kitsune Coaching Solutions is not liable for any direct or indirect damages arising from service use. The client accepts responsibility for how they apply the outcomes of counselling or coaching.
In the event of a dispute, both parties agree to engage in good faith mediation for a period of up to 30 days. Legal action may only be pursued after this process.
These Terms of Service are governed by the laws of
Victoria, Australia.
By engaging with this service—either through booking, payment, or participation—you acknowledge that you have read, understood, and agree to be bound by these Terms of Service.
